Hotel maintenance cost per room: the number every owner asks about.
At the end of every quarter, the same question arrives from ownership: what are we spending on maintenance, and is it too much? Here is how to answer it with a number you can defend.

Calculate it properly, once
Cost per room is simple division, but only if the numerator is honest. Include in-house engineering payroll, spare parts issued from stores, every contractor invoice, and the maintenance share of utilities contracts. Exclude renovation capex and housekeeping consumables — mixing them in makes the number useless for comparison.
Divide by keys, not by occupied rooms. A 200-key hotel has the same fixed plant whether occupancy is 60% or 95%, and owners compare properties on keys.
What drives the number up
Reactive culture
Emergency call-outs cost 2–4x the same job done as planned work. If most of your work orders are breakdowns, the cost per room will climb every year.
Untracked spare parts
Parts issued without a work order reference vanish from the numbers — until procurement asks why stock is always short.
Repeat faults
An AHU repaired five times in a year costs more than its replacement. Without asset-level history, this never surfaces.
Contractor sprawl
Different vendors, no SLAs, rates negotiated per visit. Consolidating contractors with agreed rates typically saves 15–20%.
Five ways to bring it down
1. Move work to planned. Every PPM task completed on time removes a future emergency. Target 70–80% planned work.
2. Post parts to the job. When consumption is tied to work orders, cost per asset becomes visible — and so do the assets eating your budget.
3. Consolidate contractors. Fewer vendors, written SLAs, agreed rates, and performance you can score.
4. Replace repeat offenders. Use asset history to justify capex with evidence: this chiller cost AED 40,000 in repairs over two years; replacement pays back in 18 months.
5. Track the trend monthly. A single quarter proves nothing. A twelve-month trend of falling cost per room with stable guest satisfaction is a story owners trust.
Let the system do the arithmetic
BKORA ties labour, parts and contractor cost to every work order and asset automatically, so cost per room is a report, not a spreadsheet project. See the reporting and KPI module or the hotel maintenance management system overview — and read our guide to the KPIs owners actually read.
Frequently asked questions
What is maintenance cost per room?
Total annual maintenance spend — in-house labour, spare parts and contractor invoices — divided by the number of rooms (keys). It makes properties of different sizes directly comparable.
What is a good maintenance cost per room for a hotel?
Mid-scale hotels typically run AED 3,000–5,000 per room per year; full-service properties with chillers, pools and kitchens often run AED 6,000–9,000. The trend matters more than the absolute number — a steadily falling cost with stable guest scores is the goal.
How do I reduce hotel maintenance costs without hurting quality?
Shift work from reactive to planned, track parts consumption against work orders, negotiate contractor SLAs, and replace assets that repeatedly fail instead of repairing them again.
