Replacing paper logs and WhatsApp chaos is easier than you think.

Logbooks and group chats feel free. They are not — you pay in lost requests, repeat breakdowns and audits you cannot evidence. The good news: switching is measured in weeks, not months.

Old paper logbook and sticky notes giving way to a glowing smartphone

The hidden bill for 'free' tools

Paper and chat groups cost nothing to start and everything to run. A request mentioned in a corridor never existed. A WhatsApp photo of a leaking valve scrolls under fifty messages by Friday. When the brand audit or Civil Defence inspection arrives, the records that would protect you are spread across notebooks and phone galleries.

The real price shows up in repeat breakdowns nobody connected, overtime nobody planned, and month-end reports somebody rebuilds by hand.

What changes on day one with BKORA

Every request is logged

From any channel, in seconds — with an owner, a priority and a deadline attached automatically.

Technicians work from their phone

Today's jobs, checklists and asset history in their pocket. Close with a photo in under a minute.

PPM runs itself

Schedules by asset class fire automatically, escalate when late, and collect evidence as work happens.

Reports build themselves

Completion rate, backlog and cost per room are always current — the owner pack is a click, not a weekend.

How the switch actually works

Week one: your asset register is built and existing PPM schedules imported — the system starts with your real equipment, not a blank page.

Week two: users are set up and technicians trained on the mobile app. Most learn it in a single shift because it is faster than the logbook.

Weeks three to four: live operation with support beside you. From here, every work order, part and dirham is tracked — and the WhatsApp group can go back to birthday messages.

Start where the pain is worst

You do not have to switch everything at once. Many hotels start with work orders only, then add PPM, inventory and reporting as the team settles in. See the work order module, the hotel maintenance management system overview, or our guide on what peace of mind looks like for a maintenance department — then email info@bkora.ca for a walkthrough.

Frequently asked questions

Why is WhatsApp bad for managing maintenance requests?

Messages scroll away, nobody owns a request, there is no deadline, no photo evidence attached to the asset, and no record for audits or owner reports. Work gets done but nothing can be proven, measured or improved.

Is it hard to move a maintenance team off paper?

Not with the right system. If closing a job on a phone takes less time than writing it in a logbook, adoption happens in the first week. BKORA customers typically go live in two to four weeks including the asset register and PPM schedules.

What happens to our old records when we switch?

Your asset list and existing PPM schedules are imported during onboarding, so the system starts with your real equipment and routines — not from a blank page.
